The College recently received funding from the Department of Education’s CARES Act: Higher Education Emergency Relief Fund. Per CARES guidelines, the funds are to be distributed to students who are eligible for federal aid (requirement of the Act) and incurred costs due to the coronavirus and the subsequent suspension of on-campus operations. To ensure the fast, efficient and compliant disbursement of these funds, the CARES Act committee created a policy for the distribution of the funds such that all students who filed a FAFSA (to ensure they are Title IV eligible) will receive a portion of the funding. Checks were mailed to those students on May 14. You may refer to hood.edu/caresact or email accounting@hood.edu

The application for additional funds from the CARES Act will be available online beginning June 1.

 

The Department of Education will be distributing funds to colleges to help students. BASED ON THE FEDERAL GUIDELINES, each college will set up their own processs on how these funds will be distributed and the amounts will vary. Additional information will be provided soon.

 President Chapdelaine’s appeal to the Governor’s office has been approved, and we are now able to allow you on campus to retrieve your belongings in a safe and orderly fashion. Travel for this purpose is deemed essential by the Maryland Higher Education Commission. See the information below to schedule a date and time to move out of your room over the next few weeks, beginning Monday, May 4. We recognize that final exams are taking place next week and there may be other factors that impact your ability to safely travel to campus; we will work with you on later options.  

It is important for everyone to maintain social distancing while moving out. Frederick County requires all persons in essential businesses to wear face masks. We are requiring all students and family members to do the same during the move-out process. Below are important details: 

  • Only two students per floor may sign up to move out in each time slot. Roommates must not sign up at the same time in order to maintain a physical distance. 
  • You will have up to three hours to move out belongings. 
  • You may have up a total of up to four people in your move-out party, including you. 
  •   For everyone’s safety, we ask that you wear your own gloves, face masks and other protective items. Also, keep at least a six-foot distance from everyone not in your moving party at all times (hallways, stairwells, etc.). To assist with this, each stairwell will be marked one way only (up or down). 
  • Housekeeping staff will wipe down high-traffic areas and rolling carts in between move-out shifts. 
  • Take everything and leave minimal trash behind (outside in trash cans or dumpsters). 
  • You will have a key envelope taped to your door with your name on it. After locking the door, place the key in the envelope and place it in the building’s blue key drop box on the wall near the exit door in the residence hall. 

In mid-April, residence life staff placed all mail and packages from the mail room in your rooms. Please ensure that you have changed your delivery address on all mail you would normally get on campus. After you retrieve your belongings from your room, we will be unable to forward your mail to you. 

The Bookstore has extended the grace period for rental returns through the first week of fall classes. They will not be charging students who are unable to return their books in the spring semester. 

Please refrain from going into any other room or building while on campus. 

Email your area coordinator or residencelife@hood.edu if you need accommodations (student siblings, accessibility needs, extraordinary circumstances, etc.). Hood College’s primary concern is for the safety of everyone on campus. It is very important that you do not come to campus before your scheduled move-out appointment. 

Refer to the link specific to your building in the email you received from your area coordinator to sign up for your move-out appointment.

 

 

On March 30, Governor Hogan put into effect a stay-at-home executive order, providing even more limits and restrictions, including out-of-state travel requiring a 14-day self-quarantine. Not following this latest executive order is classified as a misdemeanor and punishable by up to a $5,000 fine. 

At this time, we do not know when you will be able to return to campus to fully move out your belongings. We have developed a plan to systematically and safely allow you to return to move out. This will entail limiting the number of students and their helpers allowed in a building at any given time.

 When the governor’s order has been lifted, we will email you to ask you to sign up for a time slot from a selection of several available days so the move-out process can be orderly and safe for everyone. This will include cleaning between move-out shifts.

Again, we do not know when this will be and are currently unable to approve anyone to move out. We ask for your patience during this difficult time.

We understand you may want your clothing and other belongings with you. We need to focus on maintaining everyone’s health and complying with the governor’s executive order. If there is something you truly need from your room that you cannot find alternatives for which are absolutely necessary to have, we may be able to retrieve it and mail it to you; email residencelife@hood.edu with the details, and a residence life staff member will coordinate with you.

If you or your parents find that they are currently unemployed due to COVID-19, please inform us. We will review your individual circumstances and let you know how we can help you for the 2020-21 academic year.

We still have time to get all the documents that we need. If we have all your documents no later than July 1, 2020, we will have time to put aid on your student accounts.

The accounting office usually starts creating bills around July 1, 2020. You will have a bill only after you register for classes. Anticipated aid will be applied once your financial aid file is complete. Should you have questions regarding if your documents have been received, please log onto self-service from the Hood College website under current students and navigate to the finances tab. Documents are updated daily, however at this time some documents take longer to be received so please allow seven to 10 business days for the document to be logged in. 

Because of the COVID-19 pandemic and the impact it has had on everyone’s academic experience, Hood is granting all returning students a semester of amnesty on the GPA requirement for your scholarship (Founders, Trailblazer and Recognition). The scholarship you received for the fall 2019 semester is the same scholarship you will receive for the fall 2020 semester.

UPDATED: In compliance with the Governor's March 30 stay-at-home executive order, students are no longer allowed on campus.

Students may return to campus once to retrieve necessary items from their rooms. No student experiencing symptoms related to COVID-19 should come to campus. You must check in and out at the Whitaker switchboard. Please use best practices while on campus:

  • Limit off-campus trips and travel to only those that are absolutely necessary
  • There are to be no visitors to the residence halls, including other students who have not been approved to be on campus
  • Avoid unnecessary contact with other people and always maintain at least 6 feet between you and others you must interact with
  • No group gatherings, especially of groups of 10 or more (prohibited by the current state of emergency)
  • Liberally use hand sanitizers and frequently clean high-touch surfaces
  • Follow best practices with regards to coughs, sneezes, hand washing and social distancing

This trip to campus should last no longer than 30 minutes. We strongly urge that all such visits be completed prior to the start of remote education on Monday, March 23. This will relieve the burden on housekeeping, which must go in and do a deep clean each time a student enters a residence hall.

During this time, the accounting office will remove financial holds on undergraduate accounts with balances of $5,000 or less and graduate accounts with balances of $500 or less. This will allow you to register and ease anxiety while you work with the accounting office to develop a payment plan.

UPDATED: All students who needed accommodations have gotten them.

For any students who require on-campus housing during this time, we will consider those cases on an individual basis. In order to be considered, students must complete the Petition to Remain on Campus by Thursday, March 12 at noon. Limited dining services will be available.

Students are asked to stay at their permanent residence until further notice.

Yes. Students who were asked to temporarily vacate the residence halls as a result of the coronavirus pandemic will receive a prorated credit for room and board charges based on the number of days the residence halls were closed. An adjustment for financial aid associated with room and board will be made when calculating this credit. 

If there is a balance due on a student’s account, the credit will be applied to the amount due. Any remaining credit will be applied to the student’s next academic term. For graduating seniors, a refund check will be issued at the end of the semester for any remaining credit balance.
