Phone Mail System

If you are having any of these following difficulties:

  • PhoneMail password does not work
  • PhoneMail message light does not illuminate
  • PhoneMail box is full
  • PhoneMail box will not accept messages
  • Any other problems

To access your PhoneMail complete the following steps:

  • Pick-up the receiver and listen for dial tone
  • Press the PhoneMail button on your phone device or dial:  
    • On campus access:  ext. 3444
    • Off campus access:  301-696-3444
     
  • You will be prompted to enter your extension and then press #
  • Enter your password and then press #
  • A series of menu options will then be given to you:
    press 3 to LISTEN to your messages
    press 1 to RECORD a message
    press 8 to change your ANSWERING options
    press 9 to change your MAILBOX options
  • To transfer out of PhoneMail at any time during the process, press 70
  1. Dial the direct access number 3444
  2. When Phonemail answers, follow the prompts to either:
         • From your extension - press # (pound)
         • From another phone - dial your extension number followed by # (pound)  
  3. At the prompt, dial the default password 111 and press the # (pound) key
  4. The system will then prompt: "You have logged onto the Phonemail system using a password that is not secure.  You are required to change your password now.  Dial your new password and press # (pound)."
  5. After you have changed to a secure password, you will be prompted to press 8, then 4 to record your name.  Listen to the prompts that instruct you to press 1 to record.  Say your first and last name at the tone and when finished, press* (star), then # (pound).
  6. To record your personal greeting, press 8 (for answering options) and then 1 (for personal greeting).  Listen to the prompts which will tell you how to record the two different greetings that will answer your telephone.

•   Press transfer (XFER), dial 5444
•   Listen to the prompts which will tell you to dial the extension number to the person you wish to leave a message for
•   Press # (pound) twice and hang up.

  1. Get a dial tone and dial #91
  2. Dial 5444 (the Phonemail forward extention)
  3. Hang up
  4. NOTE: To cancel forwarding, get a dial tone and dial ##91
  • Access your PhoneMail (see option above)
  • Press 8 to alter your answering options
  • A series of menu options will then be given to you:
    • press 1 to change your greeting - The PhoneMail system uses a default greeting until you record your personal greeting message. The greeting will be used to answer your phone in your absence and as an introduction to phonemail. After recording your new greeting, press * and then #
    • press 2 to change your answering mode - You can choose to let the PhoneMail system answer or not answer your calls:
      • To accept messages, press 4.
      • To decline messages, press6.
      • If you decide to not accept messages, press # if you want your personal greeting to play (so callers may transfer to your referral extension), or press 2 to tell the system not to answer any calls.
    • press 3 to change your referral extension - The PhoneMail system automatically chooses the default referral extension (the Operator) if the caller asks to be transferred to a must-answer line. To choose a new referral extension, press 1. Dial the extension or dial the last name, followed by first name of the referral until recognized and then press #
    • press 4 to record your name - This feature lets you to record your name for your personal mailbox header. This allows internal subscribers to hear your recorded name for verification when addressing messages to you or when receiving messages from you. To record, press 1; when finished press * and then #.
  • To return to the main PhoneMail menu at any time, press #.
  • Access your PhoneMail (see option above).
  • Press 9 to alter your mailbox options
  • A series of menu options will then be given to you:
    • press 1 to change your distribution lists - The PhoneMail system allows you to create personal distributions lists so you are able to send a message to multiple subscribers at one time. Each list can hold up to 20 extensions.
      • To create the list, press 1.
      • To modify the list, press 3.
      • To delete the list, press 6.
      • To review the list, press 9.
    • press 2 to change your prompt level - Your phonemail uses the default standard prompts unless you decide to change the level to abbreviated. To change your prompt level to abbreviated, simply press 2
    • press 3 to change your password - The PhoneMail system uses a default password, until you choose a personal password to use. The password cannot be shorter than 4 digits, and no longer than 24 digits. To modify your password, dial the new password, then press #
    • press 5 to change your playback options - You can change the volume and the speed of your messages.
      • To temporarily adjust the volume while listening to your messages, press 5 to increase and press 8 to decrease.
      • To permanently change the volume in the PhoneMail system, press 5 to increase and press 8 to decrease, and then press #
      • To temporarily adjust the speed while listening to your messages, press 9 to increase and press 7 to decrease.
      • To permanently change the speed in the PhoneMail system, press 9 to increase and press 7 to decrease, and then press #
  • To return to the main PhoneMail menu at any time, Press #

My office does not have a phone.

My phone does not work. What do I do?

  • Try unplugging the phone cord that goes from the phone to the wall at the phone end. When you re-plug the phone in, watch for the lights to flash. If the lights flash, the phones should return to operation. If the lights do not flash, call the HelpDesk at x3622.

How do I access my phone mail from another phone on campus?

  • Dial ext. 3444 which will take you to the phone mail system. Listen for directions on how to access your specific phone mail. For more in-depth answers go to accessing phone mail.
